Booking Terms, Conditions & Policy Framework
Review the transparent booking guidelines, encrypted payment methods, deposit structures, and refund terms of Nile Abenteuer Safaris.
Encrypted Payment Methods
To guarantee complete financial security and regulatory compliance, Nile Abenteuer Safaris coordinates all payments through highly secure, verified structures. We support card payments as well as electronic wire transfers.
Secure Card Gateway
All credit and debit card payments (Visa, Mastercard) are securely processed through our encrypted, third-party PCI-DSS compliant payment portal managed by PesaPal. You can access our dedicated billing portal directly via this secure link: payments.pesapal.com/nileabenteuer.
Telegraphic Bank Transfers (SWIFT)
For large transaction volumes or full-safari payments, direct telegraphic SWIFT bank wire transfers to our corporate USD banking accounts are fully supported. Bank wire routing details, SWIFT keys, and bank address coordinates are supplied directly on your official booking invoice.
Deposit Terms & Milestones
Because wildlife permits and boutique eco-lodges have highly restricted allocations, we require structured deposit payments to guarantee and finalize your reservations.
Initial Booking Deposit
A non-refundable deposit of 30% to 50% of the total tour cost (depending on primate permit requirements) is required at the time of booking. This allows us to instantly purchase and register your mountain gorilla and chimpanzee permits with the Uganda Wildlife Authority or Rwanda Development Board in your name.
Final Balance Milestone
The remaining final balance of your safari must be cleared at least 60 days prior to your travel date. If a reservation is made within 60 days of arrival, full payment is required immediately to confirm the booking.
Strict Refund Guidelines
Our refund policies are strictly structured to match the non-refundable terms set by national park conservation bodies and remote boutique accommodations.
Government Wildlife Permits
All mountain gorilla trekking permits (USD $800 in Uganda / USD $1,500 in Rwanda) and chimpanzee tracking permits (USD $250 in Kibale) are 100% non-refundable and non-transferable once purchased. This is a strict regulation enforced directly by the Uganda Wildlife Authority (UWA) and Rwanda Development Board (RDB).
General Safari Package Refunds
Refunds on other components of your tour package (such as transport, safari guides, and accommodation) are processed based on the dates we receive your written cancellation notice, minus any transaction fees or supplier cancellation charges.
Cancellation Rules & Timeline
All notices of cancellation must be submitted in writing via email to your assigned safari planner. The cancellation penalty is calculated as a percentage of the total trip cost based on the timeframe of the request:
- 61 days or more prior to arrival: Loss of booking deposit (equivalent to permit costs and transaction fees).
- 31 to 60 days prior to arrival: 50% penalty of the total safari package cost is retained.
- 15 to 30 days prior to arrival: 75% penalty of the total safari package cost is retained.
- 14 days or less prior to arrival: 100% penalty (no refunds are issued).
Due to these strict cancellation penalties, Nile Abenteuer Safaris requires all guests to purchase comprehensive international travel insurance covering trip cancellations and delays.
General Booking Conditions
By confirming your safari with Nile Abenteuer Safaris, you formally agree to the standard travel conditions of East Africa:
Travel Documents & Health Requirements
It is the traveler's sole responsibility to ensure they possess a physical passport valid for at least six months from the arrival date, along with the required tourist visas (such as the East Africa Tourist Visa) and mandatory vaccinations (including the Yellow Fever vaccination certificate).
Mandatory Medical Evacuation Insurance
All travelers are required to carry medical travel insurance that includes emergency mountain evacuation and air-ambulance assistance. As part of our safety commitment, all our clients receive complementary local evacuation cover through the AMREF Flying Doctors service.
Wildlife Safety & Force Majeure
While wildlife viewing is highly reliable, wild animal behaviors and permit trails cannot be guaranteed. Nile Abenteuer Safaris is not liable for weather delays, volcanic eruptions, flight cancellations, or changes in government permit policies.
